A B2C edu tech company was experiencing inefficiencies in their lead engagement workflow. Sales agents struggled to keep up with long email threads, often spending excessive time reading through past conversations to understand the context before replying. Additionally, inconsistent tone and messaging across replies led to fragmented customer communication.

Solution

To streamline this process, our team implemented an AI-driven Sales Agent Email Helper using ChatGPT integration inside Salesforce. The solution was delivered as a custom Lightning Web Component (LWC) placed directly on the Lead record page.

Core features:

  • Automatic Email Summary: When a lead was opened, the LWC scanned the related email thread and sent it to ChatGPT with a predefined summarization prompt. The agent immediately saw a concise, readable summary of the previous interactions.
  • Reply Text Generator: Agents could input a short prompt or goal (e.g., “follow up on pricing”) and the component generated a professionally written email draft via ChatGPT, which could be copied or edited.
  • User-friendly Interface: The component supported quick edits, message regeneration, and summary refresh with minimal clicks, designed for non-technical sales reps.

Architecture highlights:

  • Backend Apex controller handled secure API calls to ChatGPT (via middleware where needed).
  • Predefined prompt templates ensured tone consistency and compliance with internal communication standards.

Permission settings ensured only authorized users could access the AI assistant.

Results

After deployment, clients saw measurable improvements in sales productivity and lead engagement quality. As a Positive feedback from the sales team, who found the assistant “like having a writing coach on every lead.”
