US-based mental health non-profit organization needed a robust and adaptable system within Salesforce to accurately manage complex treatment data and streamline administrative processes. The existing system relied heavily on manual paperwork, leading to data inconsistencies, inefficiencies, and increased administrative workload.
A significant challenge was to design a solution that could effectively represent a wide range of mental health-related data while simplifying user interactions, reducing manual entry errors, and ensuring seamless documentation generation.
Solution
To address these challenges, we enhanced the Salesforce data architecture by implementing multiple custom objects tailored to mental health-related entities. Each object was carefully designed to represent specific data categories, establishing comprehensive relationships between them. This approach ensured a structured and interconnected data model that accurately represented the organization’s needs.
To improve user experience, we developed custom page layouts using Lightning Web Components (LWC), creating three user-friendly interfaces that streamlined the process of filling out treatment forms. These page layouts were intuitive, reducing data entry time and increasing accuracy, ultimately benefiting the quality of patient data.
In addition, we introduced automated PDF generation using Visualforce technology. These pages gathered and compiled related records into three distinct PDF forms, catering to different documentation needs. We further streamlined the workflow by creating a custom Salesforce action to automatically generate all required PDFs for each account, with individual PDFs for each associated opportunity. This automation eliminated the need for manual paperwork and ensured that all relevant documentation was readily accessible for each client.
Results
The new Salesforce architecture delivered substantial benefits for the organization. The tailored data model provided a comprehensive view of patient information and treatment history, supporting better data tracking and relationship management. Custom LWCs enhanced user interactions, leading to more accurate data entry and a streamlined form completion process. Additionally, the automated PDF generation reduced administrative workload by minimizing manual documentation tasks, increasing efficiency, and enhancing data consistency.
