Nonprofit Salesforce Implementation For A UK Charity

Four numbers from the case, nothing else.

A national UK charity was spending three days on every funder report.

After a nonprofit Salesforce implementation the same report takes an afternoon, the funder documents themselves generate in about five seconds, and leadership finally trusts the numbers on the page.

This is how a membership charity supporting 500+ frontline organisations stopped fighting spreadsheets and got its week back for the people it actually serves.

The charity and the problem

The charity is a national membership organisation working with more than 500 frontline organisations across England. Its members run the services people rely on, and the charity's job is to support them, connect them and show funders and local authorities where help exists and where it does not.

Before the project, that work lived in four disconnected tools. The same organisation could appear three times with three slightly different names. Nobody had a single view of where services were located, so questions about regional gaps were answered by memory and goodwill. Every funder report was assembled by hand, copying numbers between spreadsheets, and it took about three days each time.

The team was not short of commitment. It was short of one place where the data could be trusted.

Why a nonprofit Salesforce implementation and not another spreadsheet

Another spreadsheet would have been cheaper for a month and more expensive every month after. The charity needed three things a spreadsheet cannot give.

  • One source of truth for members, services and contacts, so every team works from the same record
  • Room to grow, because the member network keeps expanding and new funders bring new questions
  • Funder grade reporting, meaning numbers that can be produced on demand and explained line by line

Salesforce gave the charity all three on one platform, with the flexibility to shape the system around how the team really works rather than the other way round.

This is the same approach behind our Salesforce for charities packages in the UK and our Salesforce for nonprofits work in the US, built on Nonprofit Cloud and shaped around how each team reports to its funders.

What we built

We started from the team's real workflows and the reports funders asked for most, then built only what served them.

Salesforce one source of truth Lightning Web Components Screens shaped around the team Google Maps 500+ services, regional gaps Salesforce Flow Processing and alerts PDF engine Funder documents in seconds Data quality Deduplication and validation
Five building blocks around one Salesforce core.
  • Custom Lightning Web Components shaped around daily tasks, so updating a member or a service takes a few clicks on one screen
  • Google Maps integration showing 500+ services, with a regional view that highlights gaps for local authorities
  • Salesforce Flow automations for data processing and alerts, so routine updates happen without anyone copying values
  • Native PDF generation for funder documents, consistent every time and ready in seconds
  • Deduplication and validation rules that keep the data clean as it comes in, not months later

The map turned out to be the piece people talked about most. For the first time, the charity could open one screen and show a funder or a council exactly where services cluster and where a region has almost nothing. 🗺️

The results in numbers

  • 80% less manual data entry every week
  • 4+ tools replaced by one platform
  • Funder documents generated in about 5 seconds, and the full reporting cycle cut from three days to an afternoon
  • The first real time map of 500+ organisations across England
FUNDER REPORT, WORKING HOURS Before 3 days, about 24 hours After An afternoon, about 4 hours Document Generated in about 5 seconds Four hours is an estimate of "an afternoon". Five seconds is the PDF generation time from the case page.

“Our funder reports used to take three days, now it takes an afternoon. The data is clean, the documents are consistent, and leadership finally trusts the numbers.”

What other nonprofits can take from this

  1. Start with the report funders ask for most. Build backwards from it, and every field you add has a reason to exist
  2. Clean data before automation. Automating duplicates only creates duplicates faster, so deduplication came first here
  3. Map what you serve. A visual view of your reach answers questions that tables never quite manage to

The best part of this project was not the technology. It was a team that got its week back for the people it serves.
