Key challenges included: Fragmented Data: The absence of a unified system made it difficult to synchronize client information, legal matters, invoices, and charges across systems, resulting in inefficiencies and potential errors. Lack of Real-Time Updates: The inability to track updates in real-time led to inconsistent data across platforms, hindering collaboration and operational transparency. Manual Notifications and Reporting: Manual email notifications and reporting processes were time-consuming and error-prone. Limited Security and Governance: Custom security and data models were needed to ensure compliance and user access control. Solution A robust 2-way synchronization between Salesforce and external systems (DocketWise and Pintas & Mullins) was implemented to streamline data management. Key technical solutions included: Integration of Key Objects: DocketWise: Synchronized contacts, matters, invoices, and charges with Salesforce’s accounts and Litify package objects (Matter, Transaction, and Resolution). Pintas & Mullins: Enabled bi-directional sync for Leads (Intakes) and Accounts (Parties) in Salesforce, ensuring updates to specific fields such as Incident Address and Notes were consistently propagated. Custom Synchronization Logic: Scheduled Apex Classes: Two scheduled Apex classes were developed to ensure near real-time data consistency between systems. Delete Algorithm: Using unique identifiers, the integration safely removed records without affecting data integrity. Automation and Notifications: Automated email notifications triggered by changes to key objects like Intakes and Matters, ensuring timely communication with stakeholders. Custom Security and Data Models: Developed a tailored security model to meet data access requirements. Designed a data model optimized for legal operations to align with organizational needs. Enhanced Reporting: Created comprehensive reports to deliver actionable statistical insights, improving decision-making. Results The integration achieved significant operational improvements: Seamless Data Management: Bi-directional synchronization ensured consistent and accurate data across systems, eliminating redundancies and reducing errors.
